Multifactor Overview
ALL staff have a multifactor authentication requirement for district accounts. This multifactor login is required for legal and security purposes.
How you will be affected
New staff members should check their district email to find a Duo Enrollment email to your .org/Office account. THE LINK IN THIS EMAIL IS SPECIFIC TO YOUR ACCOUNT. Please DO NOT SHARE IT with others. The link will expire after a couple weeks. Before clicking on the link you MUST install Duo Mobile. You can set this up by clicking the link on your cell phone or on your district iPad. The Duo Mobile app is available in Self Service for all staff iPads.
If you are not on district network and attempt to login to your district Outlook or Google email, a multifactor check will be required. You MUST set up Duo Mobile if you plan on accessing your district email when not connected to the DPS Network.
Beginning in November the Google sign in process will also look slightly different then what you are used to. You will now be redirected to sign into your Microsoft account when signing in to your dps61.net Google account (whether on or off district wifi). If you are already signed into your dps61.org Microsoft account on the same browser instance you will not see the redirect and will not need to enter a password to sign into Google. Set up Step 1: Download Duo Mobile
Download Duo Mobile app from Self Service on a district iPad OR from the App Store or Google Play on a cell phone. Once installed you do NOT need to open it yet. Continue to step 2 in a browser.
Step 2: Enroll in Duo Mobil
On the mobile device with Duo Mobile installed, visit the link provided in your enrollment email.
If you did not receive the link or did not enroll ahead of time, open a web browser on your phone or iPad (Google Chrome or Safari) and browse to www.office.com and login. You should be prompted to register with Duo if you are not already enrolled and are off of district wifi.
Step 3: [JJ2] Begin Setup
Follow the prompt to get your account setup with Duo Security.
Step 4: [JJ3] Choose Authentication Device Type
Choose the Duo Mobile option for authentication.
Step 5: Enter Your Phone Number
Or select “I have a tablet” on iPad to open the duo mobile app for setup. If you are completing setup and on a browser on a laptop, you will be prompted to scan a QR code with your mobile device that has Duo Mobile installed.
Step 4: [JJ4] Complete the remaining prompts
Congrats, you are now enrolled with Duo Mobile!
Step 5: Connect to Email
While logging into your Outlook or Google email, off of district wifi, you will be required to authenticate with the Duo Mobile application. You can do so by having a push notification sent to your phone or district iPad and then opening the Duo Mobile app to approve the sign in.
If you receive a push notification that you did not request, deny the request ASAP and completely change your district password. This is a bad sign your account has been compromised, please contact IT if you need assistance.
FAQ and TROUBLESHOOTING TIPS
I’m seeing a bypass code and didn’t get to complete my enrollment.
If you receive the “Bypass Code” screen when logging into your email account you will need to contact IT for assistance. Often this is caused when an enrollment in Duo Mobile was started inside of an Outlook application and the enrollment does not get fully completed. If you were unable to complete your enrollment to Duo Mobile and are now seeing this “bypass code” prompt please contact IT with a help desk ticket (www.dps61.org/help). We will send you a new enrollment link via email or text message.
How often will I need to do a multifactor check with Duo?
Every time Outlook/Office requires you to enter your password, if you are not on district wifi, you will need to do a multifactor check through Duo. You can significantly reduce the number of sign ons by selecting “yes” to “Stay signed in?” on the Outlook/Office sign in. Every 90 days when your password changes you will also need to re-verify
